			<content:encoded><![CDATA[<p><i>Have you have found yourself lost in a software hell?</i>  You are not alone.  Every magazine you pick up advertises new and improved software; your junk email, I like to call g-mail, tells you of the latest products; you see it in catalogs; and your phone rings and some vendor is pushing you to purchase their latest package.  You know you need software, or newer software, and colleagues are telling you that the latest software will help your business, make you more profitable, and help your customer service experience. But how do you determine what software is good for your business?</p>
<p>Lab and quality managers are forced to wear several different hats when choosing software for their business.  Labs that have the resource of an IT department or an employee that has some software experience get frustrated trying to sift through the software maze and give up (more often than not).  They decide the only way they are going to get what they want is to build it themselves.  This fix seems to be a simple solution up-front but anyone who has been through this process will tell you it is far from simple.</p>
<p><b>Classifications</b></p>
<p>Software can be classified into different functional areas.  Some packages do a good job of overall functionality, but most of the &#8220;best in class&#8221; applications specialize in a few specific areas of function.  General classifications of software would include bench top, management, internet, mobile, enterprise, PDA and instrument packages.</p>
<p><b>The Environment</b></p>
<p>The first evaluation that needs to be done is to review the hardware that will be used by the new system.  Will it be the same hardware, new hardware, some of both?  You will want to look at the oldest machine that will be used by the software and make sure it meets the specification requirements of the software.  In some cases, the upgrading of the hardware can be just as expensive as the software.  If the hardware being used does not meet the requirements of the software, then your first decision point has been reached: do you replace the hardware or look for different software?  If the life cycle of the hardware is to expire before the life cycle of the software, then it is usually easy to determine which way to go.</p>
<p>The second evaluation should be your connectivity to the outside world.  If the software package requires any connection to the internet you will need to understand the capabilities of your facility.  Like the hardware, this too can be upgraded if required and many of the high speed cable or DSL connections are as cheap as dial-up.  If your bandwidth to the internet is limited, this may hinder or stop functionality of some software products.  As a general rule, each user going out to the internet will consume about 16k of bandwidth utilizing a standard browser.  If the user is requesting data on a regular basis, this utilization will increase.  As a general rule of thumb, divide the bandwidth by 64k to determine how many people can &#8216;work&#8217; through the internet connection.</p>
<p>The third evaluation will be the location of work.  Is all of your work done in the lab or is some done on-site?  Depending upon the ratio of on site work, the ability for the software to support the on-site process may be a factor.  Additionally, if work is being done on-site and the software requires an internet connection, does the facility you are working at have a connection you can use?  Many companies have requirements and limitations in allowing outside users access to their system.  On-site work may require the use of a laptop or other portable computer device.  Make sure you understand the basic requirements of the software for performing the work onsite before purchasing or upgrading any hardware.  Licensing of on-site software should also be evaluated; if the on-site license cannot be used while that technician is not on site you may be forced to purchase more licenses than you have users.  Software packages that allow the license to follow the user whether on-site or in the lab can be more cost effective.</p>
<p><b>The Workflow</b></p>
<p>Before seeking a software package sit down and develop a simple work process flow chart of your facility, starting from the time you contact the customer through the time you return the equipment to the customer.  Include notes about other applications being used that impact your business or any requirements that you have to export data.  It is recommended once you have developed the baseline chart that staff from different areas of your business review the chart.  Technicians on the bench will most certainly have a different view from the quality auditors or business managers.  Get as much input as you can for the business model.  This will make it easier to evaluate how your software should support your business.</p>
<p>Once you have developed a good work flow model then the difficult task begins analyzing each of the work processes to determine if they will fit your future business needs and how critical they are to your business model.  Some software packages expect you to change your business practices to meet the needs of the software.  If you are highly flexible in how you do business, this aspect of the software decision will not be too difficult.  However, if your business practices are supporting other processes outside of your business model, then it is important that the software be able to adapt to support your critical processes as well as the other outside business practices.</p>
<p><b>The Platform</b></p>
<p>The next step is to determine what operating system and style platform you want to run on.  Some packages can run on Windows, Unix, Linux, or Mac operating systems and do not care what data storage product you choose.  Generally these packages come in one of two platforms: Browser-based or Desktop.</p>
<p><b>Asking the Right Questions</b></p>
<p>Now you have some good tools to help you evaluate each software package.  If you have determined the platform and the type of application you want to use this will narrow the number of applications you need to review. Next you will need to determine what types of software you need to review.</p>
<p><b>In Summary</b></p>
<p>Do your homework and don&#8217;t be afraid to ask for some help.  Remember, every product was new at one point.  New software will take advantage of new technology which usually means you get more bang for the buck.  Examine all the angles and trends. You want to mitigate the risk, improve your processes, create a better work place, provide better customer service, and, of course, make more money.</p>

			<content:encoded><![CDATA[<p>Do you want to get quality software at a reasonable price?  Whether you work at home or just need good software for your personal computer, you are faced with an almost endless selection of computer software. Sorting through the options can sometimes be a major task. However, if you want to get good, quality software there are several things that you can do that will save you money and headaches.</p>
<p>With the arrival of online marketing, you have more choices than ever. There are a large number of reputable software companies that sell software at significant savings. With a little homework and thought on your part, you can get good quality software that will accomplish your specific task. <br />In order to save both time and money on computer software, here is a list of twelve things you should do.</p>
<p>1. First, make sure you know as closely as possible the exact task you want your software to accomplish. The more specific you are the better. For example, do you want a very general word processing program to write occasional letters or a more sophisticated word processing software program to run the marketing for your business?</p>
<p>2. Check out the minimum requirements necessary to run the software. You want to make sure it will run on your computer equipment. You should find out how much memory the program takes, what operating systems it will run on and how much disk space is required. Is there any other computer accessory required to use the software?</p>
<p>3. Talk to friends and associates that have used the specific type of software you&#8217;re searching for. Ask them where they got the software, how much they paid, how long they&#8217;ve used the program, what type of guarantee came with the program, etc. If you have a task, which involves a deadline, like a payroll program, ask them how they were able to get answers to their questions and how long did it take.</p>
<p>4. Search the Internet for reviews on the software. Look at user groups or bulletin boards to see what users are saying about the software. For example, if you&#8217;re looking at the QuickBooks business program, type in &#8220;QuickBooks Software Review&#8221; to locate review information about the program.</p>
<p>5. You should always test the software program before you purchase it. Many reputable companies will allow you to download their software and test it out before you buy. Take advantage of the opportunity to test the program. Enter some data, print some reports, and give the program a real workout. Try as many options as possible. Don&#8217;t always follow set procedures. Try to experiment on your own. You want to know what the software does in a real world setting. You want to know what happens when you make a mistake.</p>
<p>6. If the software provides support, you should think of a question about the program that may not be too obvious and ask support for help. You&#8217;re much better off to try out support before you truly need help than to wait until you&#8217;re in a &#8220;must have help&#8221; situation. See how long it takes to get an answer. Check out how clear the response is. Ask yourself, &#8220;Did this completely resolve the problem for me?&#8221;</p>
<p>7. Check out the software warranty and company guarantees. A software company that stands behind their program will usually guarantee their products for a specific period of time. You should get at least a 30-day money back guarantee after purchasing the product. A 90-180 day guarantee is better. Usually, the longer the product warranty, the better the software.</p>
<p>8. Find out how often the company provides updates to their software. Check out the cost for getting the updates. For example, many companies will include updates for a specific period of time with the purchase price of the software. Companies that actively listen to their users update their software. If a computer program has not been updated for a long time, you probably won&#8217;t get further updates.</p>
<p>9. If you get a &#8220;Freeware&#8221; software program, you need to know four things:  <br />First, freeware is a software program that does not cost you any money. That means you will not be able to receive support from the author. You are basically on your own. Sometimes that is good. However, if you have a time sensitive task and run into a software problem, free software may not be your best option. If you miss a deadline and have to pay a penalty of some type, that free software isn&#8217;t so cheap after all.</p>
<p>Second, many times freeware is an &#8220;introductory&#8221; version of a program. That means you may still have to pay for the &#8220;complete&#8221; program or the ability to use all the program options.</p>
<p>Third, if there is no charge for a program, the program may include software options that gather information about you, your computer, your surfing habits, etc. and then return this information to the company via the Internet. This is sometimes referred to as &#8220;Spyware&#8221; and can cause some real problems with your computer. When you use a program to eliminate the spyware on your computer, your &#8220;free&#8221; software program may no longer work.</p>
<p>Finally, if you are fairly computer literate, have no specific deadlines and know that a freeware program does not contain spyware, then, a freeware computer program can be a great bargain.</p>
<p>10. If you get a &#8220;Shareware&#8221; software program you need to know three things:  First, shareware is a software program that lets you try it out before you buy it. The author is &#8220;sharing&#8221; the program with you. If the computer shareware program does what you want it to do, then the author expects you to pay for it.</p>
<p>Many shareware programs allow you to use the program for a set period of time. After that period of time, the program (or at least some of the program options) will not continue to work. Don&#8217;t make the mistake of entering a lot of important data and then decide you &#8220;don&#8217;t want to pay&#8221; for the program. You could be left high and dry.</p>
<p>Finally, some shareware programs will continue to operate regardless of how long you use them. If you come to rely on a shareware computer program, it is wise to pay the author the nominal fee they usually request. This will help the author continue to develop and enhance the program. Besides, you&#8217;ll probably get support and help from the author if you need it.</p>
<p>11. Beware of companies that send you unsolicited emails offering &#8220;name brand&#8221; computer software at huge discounts. These are often overseas companies selling &#8220;illegal&#8221; software. You will not get support, but you could get a letter from the company&#8217;s lawyer telling you that you&#8217;re using a pirated copy of their software. Some people have even reported giving their credit card information to purchase these &#8220;great bargains&#8221; only to learn weeks later, they had paid for software they never got.</p>
<p>12. Last but not least, always order your computer software from a reputable online company. You&#8217;ll experience the best service, the best warranty and the best computer products available.</p>

			<content:encoded><![CDATA[<p>Mike Dunville* had a decision to make. As the new operations manager for Alpha Staffing, he wanted to make a difference at the dynamic staffing firm. The principals of the firm had charged him with making the day-to-day operations run smoothly and efficiently while they concentrated on growing the business in today&#8217;s challenging economy.</p>
<p>With his background in operations and finance in the insurance industry, Mike had confidently and successfully translated some of those service practices into Alpha&#8217;s daily staffing and recruiting operations. Now it was time to take the next step, and modernize the hodge-podge of computer systems that until now had been reasonably adequate for their three-office operation.</p>
<p>But where to start? He needed a real staffing software package. Mike knew that the custom system his former employer, an insurance giant, had implemented the year before had done wonders to improve efficiency and overall profitability. It had also taken three years to develop, and another to implement. In fact, when he had left, they were still making &#8220;customizations&#8221; &#8212; a process he figured would go on forever.</p>
<p>Mike didn&#8217;t think that Alpha could invest that kind of time or money. Could he could bring in some business software consultants and work with them to develop a tailored package in a shorter period of time? Mike knew that the continued success of Alpha Staffing, and its entrance into new markets and business lines would be greatly dependent on a successful staffing software system implementation.</p>
<p>This reinforced Mike&#8217;s doubts that one of the &#8220;off-the-shelf&#8221; staffing software packages would fit their needs, even if it were quicker and easier to implement. The more he thought about it, the more Mike felt that his decision on business automation would be his biggest, and if wrong, his last. He reached for a bottle of antacid.</p>
<p>Mike&#8217;s business is unique, like yours. Special. Unlike any other competitor in the whole wide world of staffing. Your business practices are equally different. As a result, your staffing business requires specialized information technology that addresses those unique needs. You are convinced that with the right IT infrastructure &#8212; the right staffing software &#8212; you will be more efficient, productive, and profitable. If you subscribe to this common belief, you, like Mike, have three options to achieve that end:</p>
<p>1. Develop your own custom staffing software and technology infrastructure;</p>
<p>2. Hire a consulting firm to develop the staffing software and IT for you;</p>
<p>3. Buy from a staffing software/IT vendor familiar with your industry.</p>
<p>Of these three options, which do you think is most likely to work the best, cost the least, and get implemented the fastest?</p>
<p>If you, like the high-profile public staffing firms of Norrell (now Spherion) and Manpower choose to develop your own software solution, you too may have a very expensive future write-off to enjoy. In fact, Manpower&#8217;s write-off for its failed three-year software development effort in the late 1990&#8217;s was pegged at $57 Million.</p>
<p>The right answer to this perplexing question is to buy from a staffing software vendor who is intimately familiar with the industry.</p>
<p>Surprised? After all, you&#8217;re special, unique, different, right? Well, not exactly. Yes, it is very true that you and your competitors differ in a number of important areas, such as management styles and objectives. However, you and all of your competitors also share a wealth of common traits, such as tracking employees and candidates, performing the business transactions of orders and assignments, making payroll, and billing customers.</p>
<p>These shared business issues are at the core of your staffing and recruiting business, and it is these issues that a staffing software vendor familiar with your industry is best qualified to address. After all, such a vendor has researched the issues to develop the necessary technology. These industry-specific software vendors can often implement a solution that can handle 80 percent to 90 percent or more of your business operational needs. (It should be noted however, that vendor solutions may vary greatly in quality, efficiency, and cost-effectiveness, depending on their expertise and previous success in the marketplace).</p>
<p>But let&#8217;s say that the &#8220;90 percent solution&#8221; that an industry-familiar vendor has to offer just isn&#8217;t enough for you. You want it all. Or you want some features or functions that the vendors don&#8217;t have.</p>
<p>Your options then are to either do the job yourself or hiring the project out to outside consultants. Both are similar in that you, the client, assume the overall project management risks, and, in the case of doing the job yourself, the programming chores for your unique staffing software. If you decide to take either of these routes, do so with extreme care &#8212; as industry surveys indicate that there is nearly a 60 percent probability of its failure.</p>
<p>According to one survey of thousands of software projects, conducted by the Standish Group of Hanover, Massachusetts, four of 10 software projects failed outright. To make matters worse, an additional 33 percent of software projects were completed late, went over budget or were completed with fewer features and functions than originally specified. Can your staffing business afford to make that kind of risky investment?</p>
<p>In an even more unexpected finding, the study also revealed that the use of IT consulting houses &#8212; even highly respected companies such as Andersen Consulting (now Accenture) and Lockheed Martin &#8212; increased the risk of a project&#8217;s failure. This is astonishing because such consulting firms have staked their reputations on and are hired for their claimed expertise at developing or implementing enterprise software from such giants as SAP and PeopleSoft.</p>
<p>But the reason for their poor results is not so surprising &#8212; as it pointed to business practices that leave a lot to be desired, frequently at the considerable expense of their clients.</p>
<p>It should be no wonder then that dissatisfaction with IT contractors has reached an all-time high. A poll of 200 MIS managers conducted by Information Week revealed that 63 percent of them had either eliminated or rebid an IT service contract within a year. This was typically due to unacceptable performance or failure to deliver as promised.</p>
<p><b>Why the low success rate of home-grown &#8220;Do-It-Yourself&#8221; software projects?</b></p>
<p>With a success rate of only roughly 40 percent, you might be tempted to accept the premise that the very complexity of custom software would have a bearing on the success or failure of project. To a degree, this is true, however, the three main causes of software development failure, as determined by industry surveys, are not related to the technology itself, but to experience, management, and politics. They are:</p>
<p><b>1. Inexperience: </b>Technologies and programming methods change rapidly. This means that both business-side and/or contract programmers and program managers are not always up to speed on the latest development technology. What is more important, IT-oriented program managers and programmers are rarely totally familiar with the business issues to be addressed, and so may not be able to make the connection to the best technology needed to address them.</p>
<p>Consulting companies, including the largest and most well-known of the accounting/IT consulting firms, often use novice talent, fresh out of school, to handle programming and management chores. This inexperience leaves clients open to potentially massive cost-overruns or, worse, a system that never works even after years of development.</p>
<p>You probably won&#8217;t hear much about these consulting firm failures though; both the firms and their clients have a vested interest to keep such admissions of failure quiet. Only when it reaches the &#8220;public scandal&#8221; or &#8220;write-off&#8221; stage does such information become public knowledge.</p>
<p><b>2. Management mis-objectives: </b>Any firm trying to develop a staffing software project for itself must first fully and clearly define the objectives for the project. Few do this to the extent needed.</p>
<p>Software development and implementation is an incredibly complex process, even for a moderately sized firm. Senior management must be involved from the get-go. End-user considerations are paramount if the technology is to be fully accepted. Questions regarding business practices, methods, and future business or technology possibilities must be answered.</p>
<p>Critical to the success of the project is both established accountability and an understanding that software development is inherently risky due to rapidly advancing programming technology. It&#8217;s useful to remember that the billions of dollars allocated to correcting Year 2000 computer problems were the result of management and programming decisions made, in some cases, in the 1960&#8217;s.</p>
<p>At a time when CEO&#8217;s often focus on the performance of the next quarter, trying to plan and manage something that may take years and millions of dollars is difficult at best. Even with long-range planning and management, mis-steps are fairly typical. And it takes unusually strong and pragmatic business leadership to admit that they&#8217;ve taken the wrong development road and make any needed course changes.</p>
<p><b>3. CYA CIO&#8217;s: </b>The CEO who does not want to get involved in software or IT projects is often tempted to place all of his eggs in the basket of a trusted CIO or similar IT manager. Doing so may set the firm up for a humpty-dumpty fall.</p>
<p>Years ago, the MIS department was often referred to as the &#8220;glass house&#8221;, where massive mainframes resided, presided over a technical priesthood whose mystic incantations were the interface between the &#8220;big iron&#8221; and the information needed to run the business. Today, business-savvy CIO&#8217;s and networked computer systems are the rule.</p>
<p>However, the firm&#8217;s CIO and the MIS department may still have a vested interest in the technology and methodology with which they are already familiar. They may want to protect their turf at all costs. As a result, their tendency is to do things &#8220;the way we&#8217;ve always done them&#8221;, only bigger and more expensively.</p>
<p>At the other extreme are sometimes visionary CIO&#8217;s who see a new IT project as an opportunity to bring in the latest and greatest technology, without fully understanding it or its applicability to the business. Here, they may apply an attitude that if the business sotware is &#8220;not invented here&#8221;, it won&#8217;t work right.</p>
<p>Either way, the firm loses, (although the CIO and MIS department staff may gain some new programming skills they can use on their next job).</p>
<p><b>Can you ensure the success of any &#8220;Do-It-Yourself&#8221; home-grown software project?</b></p>
<p>With so many variables &#8212; technology, management, business practices, internal politics, competitive issues, and more, it is virtually impossible to predict the success of any custom software development project. At best, you&#8217;ve only got a 40 percent chance of success. You can, however, improve your chances somewhat by following a few simple guidelines:</p>
<p><b>1. Establish goals. </b>The most important thing is to define, exactly, what you want to accomplish. What is your firm&#8217;s business plan? How does IT relate and contribute to it? What should its objectives be? Be realistic in setting the goals, then document them. Get buy-in on these goals from senior management all the way to end-user.</p>
<p><b>2. Establish budget and time specifications. </b>No matter how you cut it, software development is all about time and money. Working from your goals, consider the cost to develop the software, AND those areas where budget and time requirements can increase exponentially. This includes testing, documentation, implementation, and end user training. And don&#8217;t forget ongoing support, development, and &#8220;bug&#8221; fixing.</p>
<p><b>3. Establish project milestones. </b>Hand-in-hand with establishing your budget and time-frame &#8212; determine what goals you have to achieve in the development process to complete the project on-time and on-budget. Some of these milestones should be, as NASA says, &#8220;GO&#8211;NO GO&#8221;, milestones; that is, if not achieved, the project doesn&#8217;t fly. Remember, 40% of all projects fail outright, so be prepared to cut your losses.</p>
<p><b>4. Obtain warranties and guarantees. </b>When dealing with outside consulting firms, this is crucial. It is all too easy to point fingers after the fact, less so if clear communication between client and consulting firm spells out the expected results. And the consequences of failure. Have a &#8220;Plan B&#8221; that you can, if necessary, fall back on.</p>
<p><b>5. Avoid &#8220;mission creep&#8221;. </b>There is often a temptation to add features and functions beyond the scope or goals of the project as it progresses. This is especially true as new technology raises the &#8220;wow&#8221; factor of the possible. Stick to the established goals and avoid the quick-sand of the &#8220;never-ending&#8221; software development.</p>
<p><b>Can you succeed with the pragmatic alternative?</b></p>
<p>If all the preceding talk of the failure rates of custom software development makes you think it may not be worth the gamble, you&#8217;ve one viable option left. Go back and talk to those industry-specific staffing software vendors some more.</p>
<p>Find out exactly what they have to offer, and what they have on the boards for the future. Can their &#8220;90 percent&#8221; software be customized for the other five percent or ten percent you believe you just HAVE to have? Or, do you really need that five percent more?</p>
<p>Look at your own business with a critical eye to determine if your business practices can or should be adjusted to fit the available IT solutions. Remember that with any highly experienced staffing software vendor you&#8217;re buying all the improvements they&#8217;ve made over the years for many, many clients. You may find that, while the software solution offered may not be exactly what you want, it will in all likelyhood measurably enhance the productivity of your current operations.</p>
<p>Above all, remember that you&#8217;re in the staffing business, not the speculative, expensive, and time-consuming software development business. Stick to your own core business competencies, with the understanding that software and technology should support and enhance your business operations, efficiencies, services, and profits.</p>
<p>And what about Mike Dunville and Alpha Staffing? Well, he thought it through, had a lot of talks with everyone on the staff from top down, rated all of the staffing software vendors to find the one that met 80 percent of their expected needs and had the most experience and the best R&amp;D and support capabilities, and bought it.</p>
<p>That was last year. So far this year sales are up 15 percent, billable hours per desk are up 20 percent, and net margin is up 12 percent. They&#8217;ll add two more offices soon without a hitch, and staff retention is better as well. Mike really enjoyed passing out the big bonus checks to everyone. And getting one himself.</p>

			<content:encoded><![CDATA[<p>1. What determines the software price?  Is it Per Seat or Per User or Per Processor?</p>
<p>The cost of software is determined in many ways. The two most popular ways are Per Seat or Per Concurrent User. Per Seat is determined by how many seats in your business will be using the software at any given time. On the other hand, Per Concurrent User is based on a set amount of users that can access the software at one time. (Example: concurrent users means a program with a license for 5 users can be installed on 100 machines but only a maximum of 5 people can use the system at once.) Per Processor is calculated on how many machines (PC&#8217;s or servers) the software will be running on. Many larger enterprise software applications use this method to determine their prices.</p>
<p>2. What types of on-site services are included in the purchase?</p>
<p>Many programs that are higher in price should include some amount of on-site services or support. If it does not, ensure that both (service &amp; support) are built into your contract before purchasing. But, beware that this is the area where companies make most of their profit. Some companies count on your returning with requests for customizations of the software. Now that you have the software and have spent significant time purchasing hardware and dedicating resources, they know you are already &#8220;half way in the pool&#8221;; they also know that you will have trouble refusing to pay extra money to get what you want. These services can include anything from training classes, customizations, or help with installation issues. In the case of local software companies, keep in mind they should automatically provide some sort of on-site services (at a minimum) before purchasing. This can only help to streamline your implementation process and increase the likelihood of your success, with the added benefit of a higher return on investment (ROI). Who wouldn&#8217;t like to have that?</p>
<p>3. Is there a guarantee of satisfaction with their software?</p>
<p>This is most widely overlooked when purchasing software. Sometimes unsatisfied users will expect a refund after deciding that it is not what they want. My experience has been that once the developer receives payment for software, it can take next to a miracle to get a refund of any kind. Prior to purchasing your next piece of software, be sure to find out their return policy and number of days that you can have the software in your hands and still be able to send it back to get a full or partial refund. With custom-developed software it can be even trickier for the buyer, you will need to build this into the contract before work begins. It goes without saying how important it is to determine this up front in case you change your mind.</p>
<p>4. What is the turnaround time for getting &#8220;bugs&#8221; fixed?</p>
<p>Some companies will say that they will fix software issues as soon as you find one. There are others that will compile the list of &#8220;bug&#8221; fixes and release it on a scheduled basis convenient for them. This can happen either monthly, bi-monthly, quarterly or yearly. Neither path is better or worse, as long as you are dealing with a reputable software company that stays true to their word. Knowing this before purchasing the software allows you to better handle your software end-users and enables you to provide a more accurate time frame of when your users will see changes or have their issues resolved.</p>
<p>5. How often do program updates go out and do they notify customers?</p>
<p>This is another widely overlooked key item. There are two lines of thought that companies can use for updating customers. The company might decide not to notify its customers at all when updates rollout. They may think that if the customer has a problem they will contact them. At that time would they inform the user of an available update? Beware of this method of service, or lack there of. Steer clear of companies that do not provide this as an option to their clients. The second line of thought would be for the company to notify its customers regularly about updates. They may also offer an option of including the customer on a mailing list. In this case be sure that they have multiple contacts that are on the email distribution list so that everyone who should know will not be left out of communications loop. If the software company does not offer either one of these options, you might want to reconsider your decision.</p>
<p>6. Is the proposed software scalable in design?</p>
<p>Software that is scalable in design simply means that it can easily grow with your business, at minimal cost to you. Factors include end user customizations, current database structure, and inputs and outputs like reports, and connectivity to your other database systems. Scalability is very important for small businesses, because they are dynamic in growth. No one wants to jump through hoops of testing, development, customizations, and training, to purchase software only to find out a year later that you have outgrown it and you need to replace it. With proper planning at the time of purchase only you can increase your chances for a successful software experience.</p>
<p>7. Can the system be customized to meet your business needs?</p>
<p>If you require customizations to the software to meet a specific need, a good rule of thumb is that it should be no more than a 1/3 of the price of the software price. Never forget that many times software companies will negotiate with you on customization. As a customer any software company worth your time should want to keep you happy. In some cases there may need to be some give and take by both parties. A good rule of thumb would be to always discuss your needs with management directly. Gatekeepers tend to drag their feet at times. Purchasing software knowing that you will need to make major changes should be a sign that you really need to take a step back and look at all of your options including: in-house development, outsourcing, and partnering with software developers to cut the price.</p>
<p>8. What are the typical hurdles that you can expect with your planned installation?</p>
<p>No matter what generation (e.g. 1yr 2nd version, 10 yrs 4th version, etc&#8230;) the software is currently in, the software company should at least be able to warn you of the hurdles that they have experienced in implementations they have done. If not, this should raise a red flag for you. The software company should be keeping track of this type of information, especially if they are constantly attempting to improve their products. You will find that they sometimes run into the same issues 2 or 3 times before they take notice and take action to investigate and resolve it before future installations.</p>
<p>9. What are the hours of support and how does their support department operate?</p>
<p>Whether you are across town or on the other side of the world, if you need help and support is not available to you, the only option will be to take the system down for an unknown length of time and wait for help. Before getting married to a software company by purchasing their product, find out where the company is located and if the company has what I define as a &#8220;passive&#8221; or &#8220;active&#8221; customer support system. Follow up with pointed questions like, &#8220;Will you only return my call at certain hours of the day?&#8221;, &#8220;Will I have to leave messages and wait at the phone for your callback?&#8221;, &#8220;Will I have a direct callback from a representative or will I be reassigned to someone different every time I call?&#8221;. Finding this information out earlier rather then later should give you peace of mind when an urgent situation or quick answer is needed.</p>
<p>10. Ask if there is a list of items that have been requested to be included in the next update of the software. If possible also request a date of completion for the items on the list.</p>
<p>Before they say no, put them at ease by letting them know that your goal is to find out what features they might be including so that you can plan ahead for your business. Chances are that if someone requested something, you will also be able to make use of this feature. Also obtaining this list will benefit you in three other ways:</p>
<p>1. If you know that a feature is forthcoming, you can notify users beforehand and seek feedback from them on whether this is something they would like also.</p>
<p>2. If the item on the list is something you need, be sure that you make it known to the gatekeepers, with emails or phone calls to the software company to ensure your item is not lost in the shuffle. This happens more than you may realize.</p>
<p>3. When you are given such a list, review it carefully. You should be able to determine the direction that the software company is going. Are they on a path dictated by their client requests? Are there frequently little items that are minor in nature on the list? (could be negligible depending on the application) or Are there obvious items on the list? (If this is the case their testing practices may need to be reviewed to your satisfaction.) Or are they adding items in an effort to get you to purchase add-on items that you will never use?</p>

			<content:encoded><![CDATA[<p><strong>It&#8217;s no secret that software companies operate in a very competitive space</strong> where rivalry is increasingly fierce and where profit margins can be razor thin. New, smaller software companies are sprouting up each month and the leading software companies continually make strong advancements forward leveraging massive cash flow reserves. This cycle makes it difficult for the mid-sized software company to compete because (a) they don&#8217;t typically have the cash flow necessary to take giant leaps forward in the industry and (b) because they need to continually move forward to stay ahead of the smaller software companies that are vying for their slot in the marketplace. Consequently, making the jump from an unknown to a mainstream brand can prove to be very difficult for the mid-sized software company.</p>
<p>Finding ways to create new revenue streams and to decrease current costs is imperative to the success of companies caught in this cycle. They need to be thinking on their feet, thinking ahead and thinking creatively, all at the same time. This can be a daunting task, as any software executive will tell you.</p>
<p>Despite all of the challenges that face the mid-sized software market, there are several ways to create these much needed revenue streams and to decrease current costs. New advancements in technology and its use in training and development make generating these revenue streams possible.</p>
<p><strong>Setting the Stage</strong></p>
<p>It is almost taken for granted that when an organization purchases a software package from a reputable vendor, a certain amount of end-user, customer training will be either bundled into the purchase price or made available to them for an additional cost. If training isn&#8217;t available to the end-user customer, the learning curve on the new software package is going to be fairly steep, depending on the complexity of the software.</p>
<p>Typical training expense categories associated with most mid-sized software companies include:</p>
<p>1. The salaries of offline trainers<br />2. The travel expenses of offline trainers<br />3. The costs of producing hard-copy training manuals<br />4. The time involved in offline, onsite customer training</p>
<p>These expenses should be under a watchful eye and should be consistently viewed as expenses that could be alleviated to some degree to not only improve the company&#8217;s attractiveness in competitive bid situations but to increase the profit margins of the supplemental training services provided by the company.</p>
<p>At the same time, in the background, mid-sized software companies should be looking for ways to create new revenue streams that they aren&#8217;t currently capitalizing on to work in collaboration with their cost-reduction initiative.</p>
<p><strong>Step 1: Lowering Training Costs Using Custom e-Learning Content</strong></p>
<p>The first step to any well laid-out cost-reduction plan is to decrease the costs the organization currently incurs in order to get a better handle on profit potential from sheer cost savings. Previously we outlined what our target cost categories are&#8230;now we&#8217;re going to lower the costs associated with those categories by leveraging custom e-Learning content.</p>
<p><strong>Take this scenario:</strong> A mid-sized software company that develops intranet portal systems currently employs 3 trainers that are onsite with clients for end-user training 3 days per engagement and they each average approximately 50 engagements per year for a grand total of 150 days on the road per trainer or 450 days on the road collectively.</p>
<p>For these trainers, the onsite training program for the end-user customer may look something like the following:</p>
<p>Day 1: Software Introduction and Primary Functions<br />Day 2: Functional Use and Administrative Actions<br />Day 3: Real-World Functions and Labs</p>
<p><strong>Lowering the costs:</strong> By leveraging custom e-Learning content, the company used in the above scenario, can effectively reduce the onsite time required for each trainer, thereby reducing all costs associated with the training program across the board.</p>
<p>By using a professionally designed, self-paced, custom e-Learning module to focus on the Software Introduction and Primary Functions training that normally occurs on Day 1 and then delivering that learning module online to their end-user customers at the time of purchase through an e-Learning Management System (LMS), this company could decrease travel time for all 3 trainers by 1 day per engagement. This would decrease travel time for each trainer by 50 days per year, or 150 days collectively during the year. In addition the end-user customers will already be familiar with the software package before the trainers ever set foot in the front door.</p>
<p>This would successfully:</p>
<p><em>Decrease the costs associated with those 150 days of travel that are now being saved.</em></p>
<p><em>Enable the company&#8217;s trainers to perform more training engagements OR enable the company to decrease the number of in-house trainers it employs.</p>
<p>Decrease the costs associated with creating and publishing the sections of the hard-copy training manuals that deal with the Software Introduction and Primary Functions training session that normally occurs in-person on Day 1 of the training engagement.</em></p>
<p><strong>Taking it one step further:</strong> Reducing each trainers travel schedule by 1 day is good, but it isn&#8217;t good enough. Software companies employing this cost-reduction method should take it one step further to enhance their end-user customer&#8217;s experience. They need to make sure that their end-user customers are learning what they need to know to ensure time isn&#8217;t being wasted covering the same topics when the trainer visits the customer site in-person.</p>
<p>To do this, the software company needs to look at how they plan to deliver the online training to their end-user customers. They will want to make sure that the end-user customers can track and manage the online training portion of their sessions, whether it is self-paced custom e-Learning content or real-time online trainer/student collaboration. Selecting this delivery platform can be difficult but it should include the following basic functions:</p>
<p>1. Student Knowledge Assessments<br />2. Student Success and Progress Tracking<br />3. Real-Time Interactivity<br />4. Self-Paced Learning Delivery</p>
<p>By selecting a delivery platform that addresses all four of these facets of end-user customer training, the mid-sized software company can not only decrease their own costs but enhance their client/vendor relationship by delivering more than what is normally expected or experienced in today&#8217;s software market. What&#8217;s the bottom line? The customer is pleased with their user&#8217;s performance and the value they received from the software company.</p>
<p><strong>Step 2: Creating Revenue Using Custom e-Learning Content</strong></p>
<p>Now that we have lowered our costs, the company needs to look at how they can use their new learning technology to generate new revenue streams for their organization.</p>
<p><strong>Take this scenario:</strong> The mid-sized intranet portal software company used in the scenario above now has their own proprietary basic end-user e-Learning module to cover 1 day&#8217;s worth of what was previously onsite training. The company has effectively reduced their overall, offline training costs. Now it is looking for ways to generate new revenue streams using this technology to (a) make back their initial purchase costs and to (b) create more profit potential for the entire organization.</p>
<p><strong>Creating the revenue:</strong> One way for a mid-sized software company, such as the one we&#8217;re using in our example, to create this much needed revenue stream is to create subsequent, more advanced, self-paced, custom e-Learning training modules. Attractively priced, these learning modules could be made available to their end-user customers online without incurring any additional offline training costs.</p>
<p>In order to do this efficiently and without incurring additional offline training costs, the company needs to make it easy for the end-user customer to purchase the more advanced training content and make it easy for the end-user customer to track their own learners as they attend the training courses so they can readily see its effectiveness. By investing the money today to build the more advanced, custom e-Learning content, this mid-sized software company could realize profits from the training modules within 12 to 24 months once they begin marketing and selling it to their existing client base. Such profits would be dependent on development timeframes, how they market their new training service and their chosen modes of delivery.</p>
<p><strong>Taking it one step further:</strong> Making the more advanced e-Learning content convincing and attractive to purchase from the client standpoint takes some ingenuity. People are very susceptible to purchasing something that is located right next to the checkout lane at Target. Similarly, it stands to reason that client of this mid-sized software company will be more apt to purchase additional e-Learning content if it is readily available to them and if they can purchase it without any hassle.</p>
<p>One way to accomplish this is to publish the new, more advanced, self-paced e-Learning modules to the company&#8217;s LMS portal and then make the modules available for purchase via credit card using e-Commerce or via standard invoice with a single phone call. This essentially acts as the product stands we all see at Target next to the checkout lane. Since everyone needs to pass through checkout lane, it makes sense to put additional products available for purchase there. In other words, if the mid-sized software company is delivering portions of their beginner training program online to their end-user customers, this more advanced e-Learning content should be available for purchase right next to those basic training modules, thus, increasing its visibility and increasing the attractiveness to buy from the client perspective.</p>
<p><strong>The Completed Solution</strong></p>
<p>Because of the tight software market and the strain put on mid-sized software companies to perform, if these companies can decrease the costs associated with their current training programs and create new revenue streams at the same time, it becomes a win/win situation both for the vendor and for the customer. The software company gains a competitive edge and continues to move forward while the client gains an easy-to-engage training program and added value from their software vendor.</p>

Caution should be used though, as many of these companies will advertise these services but may not necessarily have the expertise to perform them. The types of software testing services that any professional company should offer is:</p>
<p><u>Test Case Creation</u></p>
<p>This very popular service typically involves creating detailed test cases that not only can be used on the project under test, but also due to their high quality can be re-used on future projects and form a high quality test documentation asset. Good testers will accumulate all required information necessary to produce the test cases, typically from design documentation, requirements and developer interview. Once the information has been analyzed a software tester will create a sophisticated excel spreadsheet which includes test cases, results sheets, environment setup and version details etc. Clients are involved in every stage of test case development in the form of a test case review process.</p>
